Process
A four-stage engagement with a decision point at every stage.
The work moves from an operational question to a defined pilot, a scoped implementation, and ongoing improvement only when it is useful.
01 / Diagnostic
Find the loss before proposing a fix.
We map the customer path through calls, inquiries, estimates, and handoffs. Together, we identify where time, demand, or revenue is falling through.
What we need from you
- A short view of how calls and new leads are handled
- Access to the relevant operational context during the conversation
- An owner or decision-maker who can describe the current workflow
Duration: 30 minutes
Outcome: a prioritized diagnostic and a recommendation on whether a pilot makes sense
Cost: free
02 / Pilot
Test a specific workflow against a written success metric.
We define a limited use case, the rules around it, and what a useful result looks like. The pilot is designed to answer a business question before a larger commitment.
What we need from you
- Approval of the selected workflow and success metric
- Examples of the requests the workflow must handle
- A person available to review edge cases and early results
Duration: defined with the pilot scope
Outcome: a tested workflow and evidence for the next decision
Cost: from $2,000 where a front-desk pilot is appropriate
03 / Implementation
Build the approved process around the operation you already run.
Once a pilot proves useful, we configure the wider workflow, connect the agreed systems, document handoffs, and test it with the people responsible for it.
What we need from you
- Access and approvals for the systems in scope
- Timely feedback on routing, language, and exceptions
- A designated owner for final operational decisions
Duration: depends on workflows and integrations
Outcome: an implemented, tested process with documented handoffs
Cost: typical implementation ranges are set after scope is clear
04 / Retainer
Keep the process aligned as the business changes.
Ongoing work is available when the operation benefits from regular review, tuning, reporting, or new scenarios. It is not a long-term lock-in requirement.
What we need from you
- A recurring review with the person closest to the workflow
- Feedback on exceptions, changes, and customer response
- Clear priorities for any additional scenarios
Duration: month to month when needed
Outcome: ongoing reporting and prioritized improvements
Cost: typical retainer $500–$2,500/mo
Systems
Systems we connect to.
Where appropriate to the scoped work, we connect to systems such as ServiceTitan, Housecall Pro, Jobber, HubSpot, Google Calendar, and Twilio. These are systems we connect to, not partner endorsements or client lists.
Data and access
Your operational data stays yours. We do not sell it, and your records can be taken with you at any time. Access is limited to what the agreed work requires.
